1. Purpose

Real Numbers values and respects the privacy of those who use our Strategies platform and related services (the "Services"). This Trust & Privacy Center addresses our privacy practices and security commitments relating to customers and users (collectively, "Users") of our Services. This document applies to and serves as notification regarding information collected automatically via the Services, as well as that which is affirmatively provided by Users.

If you do not want your data to be collected or processed as described in this document, you should not use the Services. If you use our Services and have questions regarding the treatment of data, you should contact your Account Representative and consult the terms of your Real Numbers agreement related to those Services (your "Services Agreement").

2. Definitions

"Personal Data" means any information that, by itself or in combination with other information, identifies, relates to, describes, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a particular natural person. This does not include anonymized, aggregated, statistical, or non-personally identifiable data resulting from the use of the Services.

"Customer Operational Data" means the operational and workforce data you provide to Real Numbers to power the Strategies platform, such as ACD interval reports, FTE counts, shrinkage estimates, and scheduling metadata.

"Privacy Laws" refers to applicable legislation, statutory instruments, and any other enforceable laws, codes, regulations, or guidelines regulating the collection, transfer, processing, use, and disclosure of, and/or rights to Users' Personal Data based on their governing jurisdiction, including, where applicable, the California Consumer Privacy Act ("CCPA").

3. Our Commitment to Trust

At Real Numbers, trust is the foundation of our relationship with you. Our product, Strategies, is designed to analyze your most sensitive operational data to produce plans you can rely on. We understand that this requires a profound level of trust in our technology, our processes, and our people.

This document provides a transparent overview of our security posture, data handling practices, and commitment to privacy. It is designed for all our stakeholders, from website visitors to our largest enterprise customers.

4. Collection and Use of Data

Real Numbers uses information about Users, including Customer Operational Data and Personal Data, for a variety of purposes, including:

  • To enable you to use our Services;

  • To build and run simulation models and optimization plans for your organization;

  • To monitor usage and analyze statistical information related to our Services;

  • To respond to your comments, questions, and requests;

  • To carry out our obligations and enforce rights arising from our contractual relationship with you;

  • To improve and maintain the security, performance, and operational efficiency of our Services;

  • To provide customer support;

  • To send communications regarding Services or information related thereto; and/or

  • For any other purpose with your consent.

4.1 Customer Operational Data

To power the Strategies platform, we process operational data you provide, which typically includes:

  • ACD (Automatic Call Distributor) interval reports

  • High-level FTE (Full-Time Equivalent) counts

  • Weekly shrinkage estimates

  • Agent schedules and routing metadata

Note: This data is your confidential information. We act as a service provider for this information. Our standard modeling and planning services do not require Personally Identifiable Information (PII) from your end customers.

4.2 End-User Personal Data

As part of using the Services, you may enable access to your end-users (as governed by the terms of your Services Agreement). Real Numbers collects Personal Data on behalf of our customers in order to provide the Services and has no direct relationship with your end-users whose Personal Data may be processed in connection with the provision of those Services. You are solely responsible for establishing policies for and ensuring compliance with applicable Privacy Laws relating to the collection of Personal Data from your end-users.

4.3 Website & Marketing Data

When you visit our website or interact with our marketing materials, we may collect standard information such as:

  • Contact information you provide (name, email, company)

  • IP address, browser type, and usage data via cookies for analytics and site functionality

4.4 Automated Collection

Real Numbers collects log files, domain names, and IP addresses of Users for statistical purposes, to measure use, to improve the content or responsiveness of our Services, or to customize the content for individual Users. We may also aggregate this information to identify usage patterns. This data helps Real Numbers understand how Users interact with our Services with the goal of building an experience that improves our processes in accordance with User needs. Access to this data is restricted to those who administer Real Numbers' network and Services.

4.5 Data Integrity

You are responsible for the accuracy of the information you provide to Real Numbers. Real Numbers will use reasonable efforts to maintain the accuracy and integrity of such information and update it, as appropriate. Real Numbers will not maintain data any longer than necessary for the purposes stated without your consent unless legally required.

5. Confidentiality and Security of Data

Security is one of Real Numbers' highest priorities. Real Numbers takes commercially reasonable and appropriate steps to protect data transmitted to our Services and to protect such data from loss, misuse, or unauthorized access, disclosure, alteration, or destruction.

5.1 Key Security Measures

  • Encryption in Transit: All data transmitted to and from Real Numbers systems is encrypted using TLS 1.2 or higher.

  • Encryption at Rest: Customer data stored in our systems is encrypted using industry-standard AES-256 encryption.

  • Access Control: We enforce a strict principle of least privilege. Access to customer data is restricted to authorized personnel who require it to perform their job functions. All access is logged and monitored.

  • Data Minimization: Our AI models are designed to work with the minimum data necessary. We do not require Personally Identifiable Information (PII) from your customers for our standard modeling and planning services.

  • Secure Infrastructure: We partner with leading cloud infrastructure providers (e.g., Amazon Web Services) that maintain robust physical and network security controls.

  • Personnel Security: Employees with access to customer data are subject to confidentiality obligations.

5.2 Incident Response

We make commercially reasonable efforts to reduce the risk of data breaches and have dedicated controls and procedures in place for such situations, along with procedures to make notifications to the relevant parties and supervisory authorities (where applicable).

5.3 Customer-Controlled Environments

For enterprise customers with specific data residency or control requirements, we offer the option to run our modeling and simulation engines within your own cloud environment. Please contact your Account Representative for more information.

Important Notice: You should keep in mind that no internet transmission is ever 100% secure or error-free. In particular, email may not be secure and therefore special care should be taken when deciding what information is sent to Real Numbers via email. Where you use passwords, ID numbers, or other special access features, it is your responsibility to safeguard them.

6. Disclosure and Onward Transfers of Data

Any data provided to Real Numbers will be used for Real Numbers' business purposes only and only disclosed on a need-to-know basis or as required by law. When Real Numbers provides data to third parties used to deliver or support specific Services to you, our agreements with these third parties do not permit them to use data outside the scope of fulfilling those Services nor allow them to further disclose your data. You should consult your Services Agreement for information regarding disclosures and transfers relevant to the Services.

6.1 Sub-Processors

We use a limited number of third-party services (sub-processors) to help us provide our Services. These include cloud hosting providers and internal business tools. We conduct reviews of sub-processors before engaging them.

6.2 No Sale of Data

Real Numbers' disclosures of data to its affiliates, third-party service providers, or sub-processors do not qualify as "sales" within the scope and meaning of the CCPA as the disclosures are necessary to perform the business purpose under your Services Agreement or facilitate business communications and/or transactions between the parties. Real Numbers does not sell your Customer Operational Data or Personal Data to third parties.

7. Data Retention

We retain your Customer Operational Data for the duration of our service agreement with you. Upon termination of the agreement, your data will be securely deleted from our systems in accordance with the terms of our contract. Marketing and contact data is retained as long as it is relevant or until you request its deletion.

8. User Rights to Personal Data

Real Numbers collects and processes Personal Data consistent with the disclosures in this Privacy Policy. Depending on applicable Privacy Laws, you may have the right to request Real Numbers disclose certain information to you and/or about our collection and use of your Personal Data. You may have the right to object to or request access to your Personal Data, to restrict the processing of your Personal Data, or to have your Personal Data transferred, corrected, or deleted. You may also have the right of portability with respect to your Personal Data.

However, you should note that these rights are not absolute and, depending on the type of information affected, Real Numbers may be permitted, or even required by law, to refuse your request. In all events, upon receipt of a valid, verifiable request, Real Numbers will explain its position in detail.

8.1 California Consumer Rights

The CCPA permits California consumers (as defined under Cal. Code Regs. tit. 18, § 17014) to request certain information regarding Real Numbers' disclosures of Personal Data and compliance with the CCPA. Depending on the circumstances of your relationship with Real Numbers, the disclosure may extend over the previous twelve (12) months. It is important to note that Real Numbers is required under the CCPA to verify your identity in order to respond. Real Numbers will respond to verifiable requests within a reasonable period of time after receipt.

8.2 Marketing Communications

Based on applicable Privacy Laws, Real Numbers may separately ask you to opt-in to receive promotional and/or marketing communications. At any time, you can manage your communication preferences by unsubscribing from receiving such communications by utilizing the "unsubscribe" or opt-out feature within the communication. You can opt out of marketing communications at any time.

8.3 Consent Withdrawal

If Real Numbers collects and processes Personal Data with your consent, you can withdraw your consent at any time. Withdrawing consent will not affect the lawfulness of any processing Real Numbers conducted prior to your withdrawal, nor will it affect processing of Personal Data conducted in reliance on lawful processing grounds other than your consent.

9. Data Categories Chart

This chart is for informational purposes only. Real Numbers customers should consult their Services Agreement or contact their Account Representative for information on the scope of data pertinent to their Services.


6.2 No Sale of Data

Depending on the circumstances of your relationship with Real Numbers, the disclosure may extend over the previous twelve (12) months. It is important to note that Real Numbers is required under the CCPA to verify your identity in order to respond. Real Numbers will respond to verifiable requests within a reasonable period of time after receipt.

Based on applicable Privacy Laws, Real Numbers may separately ask you to opt-in to receive promotional and/or marketing communications. At any time, you can manage your communication preferences by unsubscribing from receiving such communications by utilizing the "unsubscribe" or opt-out feature within the communication. If Real Numbers collects and processes Personal Data with your consent, you can withdraw your consent at any time.
